Role- Governance and Compliance OfficerSalary- £36,000-£40,000 pro rataWorking pattern- 17.5 hours per week (hybrid and flexi time offered)Location- Edinburgh (west)
This is a role that will require someone with strong administrative skills or high level PA skills. Some of the duties and accountabilities are listed below-
• Coordinate Strategic Performance Information (SPI)• Collate the production of SPI statistics throughout the organisation.• Test the accuracy and robustness of the data gathered.• Publish the resultant SPI internally and prepare performance reports for the Boards.• Co-ordinate updates on the the Association’s Strategic Plan and the subsidiary’s Business Plan• Develop and maintain a dashboard of SPI results with the assistance of the ICT Officer.• Update the Association’s website with SPI information• Ensuring compliance for Freedom of Information (FOI) and Subject Access Requests• Internal Audit Outstanding Actions report (this Board report keep a list of outstanding actions on each internal audit report)• Delivery of the Boards and Committee actions (this Board report keep a list of agreed actions during each Board meeting)• Delivery of the returns and registrations as detailed in the annual report to Board.• Prepare reports for SMT review on GDPR breaches, Complaints, Staff Sickness absence and Policy review list.• Co-ordinate collection of data for the Annual Return on the Charter to the Scottish Housing Regulator, including supporting evidence. Entering the data for the ARC return on the SHR portal and publishing results on the Association’s website.• Prepare the summary of ARC information for selected landlords, provided by SHR annually.• Supporting each team in their procurement reporting according to the Procurement Policy.• Review and recommend changes to procedures required due to external changes to regulatory requirements (as notified by relevant SMT members).• Assist the CEO to monitor compliance with the Data Protection Policy• Note-taking for investigation, disciplinary and grievance meetings or hearings.
Boards Support
• Support the Association’s Secretary (CEO) to monitor compliance with the Association’s Rules.• Co-ordinate and issue Board and Committee papers• Minute taking at Boards, Audit Committee and Board Strategy Days (when required)• Prepare the Board/Committee actions report from the minutes to ensure implementation of decisions arising from meetings.• Prepare the Internal Audit Outstanding Actions report (this Board report keep a list of outstanding actions on each internal audit report and needs to be updated once the Internal Audit report goes to the Audit Committee • Co-ordinate relevant updates to the record of evidence to show compliance with Regulatory Standards and issue to the Board.• Note-taking for investigation, disciplinary and grievance meetings/hearings.• Maintain Board governance registers such as attendance registers, code of conduct, declarations of interest.If you are interested in this role please apply online today!
