Job Title: Senior Scheduler
Location: Wolverton
Salary: Up to £42,000 depending on experience
Working hours : Fully office based 8am-5pm Monday-Friday
We’re recruiting a Senior Scheduler for our client, a company specialising in housing refurbishments, maintenance, and new build developments.
You’ll be playing a vital role responsible for the delivery of repair contracts and
works within budget and agreed timescales.
The Position:
Reporting directly to the Responsive Repairs Manager, you are required to ensure that daily routines are performed efficiently, that Company procedures are followed and completed to the required deadlines on a daily basis.
You will liaise directly with clients, residents and company staff maintaining effective communications for the smooth running of Reactive projects.
The role will require good IT knowledge, good communication and organisational skills and the ability to work both individually and as part of a team.
Duties / responsibilities:
You will be required to answer in-coming calls via the switchboard and redirect to the correct department.
Generate all new works orders for your contracts on the IT program. Create job packs where required.
Make appointments for access with tenants if required.
Ensuring that parts and materials are procured.
Monitoring the operative s diaries to ensure that works are correctly scheduled.
Booking in appointments on the planner to ensure operatives remain working in a job by job geographical
area.
Update the client spreadsheets as required.
Update works in IT system whenever the status changes. Ensure accurate notes are added to records of
works in IT system so that progress can be monitored.
Liaise with the Responsive Repairs Manager on a daily basis & update the works orders in the IT system
accordingly. Report any problems to the Reactive Manager.
Answer day to day queries via email, phone and/or post relating to the contracts under your care.
Ensure any variation requests are sent to the client and updated on the client portal.
Process the repairs schedule received from the client; sort to priorities taking into account Key
Performance Indicator (KPI) timescales.
Ensure any specialist works received get allocated to the correct Sub-Contractor.
When reports come back from operatives regarding works, ensure the jobs are processed through to
invoicing/ materials ordered/ rebooked as required.
Update completion reports from Subcontractors on the IT program.
Ensure SOR codes are updated on the IT system as per operative/Subcontractor reports or from the SOR
books provided.
Check/request asbestos reports as required.
Complete all filing and photocopying for your contracts.
To provide administration cover on other contracts during staff absence/holidays if required.
Responsible for any other procedure deemed necessary on an ad hoc basis by the Reactive Manager or Contracts Manager.
Skills and Experience
The role will require specialist qualifications, a good working knowledge of Excel, Word & Outlook IT applications, project management and excellent communication and staff management skills. You will have reactive/responsive
maintenance experience on a broad scale, ideally in construction/building/facilities management.
